Reducing Expenses with Proof of Delivery: SCIENTIA

Scientia

This time, we had the honor of interviewing Issac Leung, the owner of SCIENTIA business. Issac shared with us the specifics of delivering manufactured goods to businesses, their challenges, and how they are solving the industry's complexities with the help of Track-POD. Keep reading to learn more!

SCIENTIA - what they do, and what is the role of deliveries

SCIENTIA manufactures and distributes coffins to individual customers and businesses. In this case study, we will focus on the delivery aspect of their business. Due to their size and fragility, distributing large items such as coffins is a complex task. SCIENTIA distributes its products throughout Australia and aims to expand further, which makes the deliveries time-consuming and lengthy. Moreover, the team must adhere to the strict delivery schedules pre-aligned with their business partners.

What were the main challenges of the deliveries?

First, SCIENTIA was held responsible every time the products were damaged, making it hard to prove that they were delivered without any damage. Repairing damages not caused by the producers is a costly process. Second, the orders had to be planned and delivered on long-distance routes, which was also expensive in terms of expenses, supervision, and planning.

At SCIENTIA, Issac had to come up with ideas on how to make sure:

  • There are no disputes towards SCIENTIA if the coffins get damaged by the client.

Returns and redeliveries are expensive. Thus, SCIENTIA had to implement a solution that would provide proof of delivery to clients upon product receipt that the product was delivered in good condition.

What technological solutions did SCIENTIA implement?

Scientia decided to search for software that would reflect a wide range of solutions:

  • Proof of delivery is the top priority. The team had to prove that the items were delivered in perfect condition, allowing them to avoid any expenses in case of further disputes.
  • Routing the deliveries as well as scheduling them in the best possible way. That had to consider multiple variables:
  1. Number of stops;
  2. Vehicle load capacities to avoid extra back-and-forth routings due to not using full load;
  3. Delivery ETA's agreed with businesses and private consumers;
  4. Amount of drivers and vehicles available.

Track-POD as their delivery management solution

Here is where Track-POD’s played its’ role. We are happy that we were able to fulfill Scientia’s wishes and provided the solution that:

  • Has single dashboard dispatch software;
  • Optimizes the routes based on ETA;
  • Considers vehicle availability, vehicle capacity, weight of the products, and driver’s working time and schedules;
  • Sync with Track-POD’s driver app, which allowed the team to import the routes to their driver’s phones in an automated way;
  • Live tracking, which made sure the customers are always in place and informed when the orders will be delivered;
  • Proof of delivery was integrated into the driver’s app, which allowed the team to have proof to avoid any further disputes;
  • An analytics dashboard allowed teams to improve their success delivery rates, service time, and expenses.

As Issac Leung said: “We are using almost all of the Track-POD’s features, and it has really helped us to manage the growing number of deliveries and get them to our customers on time!”
