Track-POD's User Management and Permissions

Track-POD offers a flexible and secure way to assign roles and responsibilities throughout your delivery management operations. Customize permissions for orders, routes, directories, depots, and more, to ensure each team member has precisely the level of access they need.
Managing Users in Track-POD
To manage users, go to Settings > Users & Roles. Based on your subscription plan, you can create a designated number of user accounts to administer the Track-POD dashboard.
To add a user:
- Navigate to Settings > Users & Roles
- Click the + Add User button.

- In the Add User window, enter the user’s name and email address (used as the login). The system then sends the sign-up details to the provided email. Select the appropriate rights and permissions:

Once the system creates the user, you can edit their permissions and roles. However, you can’t edit the user’s email address, that field becomes read-only.
User Roles Overview
- View-only User: Grants read-only access to all tabs except Settings.
- Dispatcher: Grants access to all tabs by default, you can also customize the Dispatchers’ access to Directories, Users, Routes, and Orders as needed.

- Carrier: Grants view and edit access to orders and routes, aligned with carrier codes.
- Shipper Manager: Grants access to orders from all or only shippers.
- Admin: Provides full access (excluding Subscription settings) with restrictions on bulk deletion of Directories.
Note: Only the account owner and an Admin with proper assigned rights can manage Subscription settings and clear Directories to ensure business security.

Configure User Permissions by Area
Track-POD allows you to adjust user permissions granularly by area to match your operational requirements.
For every area of user permissions, you’ll have two overall options:
- Full Access: Everything that the system allows to view, change, and edit, will be accessible by the user.
- Restricted Access: Allows more granular configuration and enables more toggles.
Following is the explanation of the various toggles and specific configurations:
Orders
- View Orders page: See and browse the Orders page.
- Edit: Modify order details (e.g., addresses, scheduled times).
- Delete: Remove orders from the system.
- Duplicate: Copy an existing order to speed up data entry.
- Edit completed orders: Revise orders even after completion.
- Reschedule uncompleted orders: Dispatchers can adjust schedules for orders that have not yet been completed, ensuring real-time order management and minimal delays.
Routes

- View Plan & Track page: Allows users to access the Plan & Track page where they can monitor and plan routes.
- Create: Lets users establish new routes.
- Edit: Permits users to modify existing routes (e.g., updating stop sequences or timing).
- Delete: Enables users to remove routes from the system.
- Duplicate: Allows users to copy an existing route to speed up route creation.
- View free drivers: Displays drivers who currently have no assigned routes.
- View drivers on the way: Shows drivers who are actively en route or in transit.
These settings restrict route management functions to authorized personnel, ensuring consistent and efficient delivery pathways.
Directories
- View: Allows users to browse and view all directories in the system.
- Edit: Grants users the ability to modify existing directories, such as updating or reorganizing directory entries.
Vehicle Check
View: Allows users to see and review vehicle check details, including inspection records and related information.
Users & Roles
When configuring Users & Roles permissions, you can select Users & Roles Full Access or Users & Roles Restricted Access. If you choose Users & Roles Restricted Access, the following toggle becomes available:
- User management: Allows users to manage (e.g., create, edit, deactivate) other user accounts and assign roles, within the limits set by the account owner.
Depots

When configuring Depots permissions, you can select Depots Full Access or Depots Restricted Access. If you choose Depots Restricted Access, you can pick individual depots from your system and grant the user access to only those selected depots. This setup is especially useful if you have multiple warehouses and want to ensure that each user only manages orders from specific locations.
